1. Start with concern, not accusation
A manager reacts:
“Where were you? That’s unacceptable.”
A leader responds:
“I noticed you weren’t here and we didn’t hear from you - is everything okay?”
Then ask:
“What happened this morning?”
Your tone sets the outcome.
Concern opens the door.
Accusation shuts it.
2. Clarify the impact immediately
A manager lays down the law.
A leader makes the impact visible:
“When we don’t hear from you, it affects scheduling and puts pressure on the team.”
Then co-create:
“What’s the best way for you to communicate if something comes up?”
“How do we prevent this next time?”
This builds awareness - not resentment.
3. Reset the standard with clarity and agreement
A manager warns:
“Don’t let it happen again.”
A leader aligns:
“Going forward, we need communication before your shift begins.”
Then confirm:
“Are we aligned on that expectation?”
“What support would help you meet it consistently?”
If it’s not clear, it’s not fair.
Managers react emotionally.
Leaders respond intentionally.
